Odoo v16: usability and productivity3:24

Usability improvements in version 16: a more agile working environment, focused on managing and tracking the primary and secondary data of each process.

What the video shows
  • A CRM opportunity with its main data and, in the right-hand side panel, the traceability of actions, tasks, and milestones, previously located at the bottom
  • A sales quotation with the same layout: customer, lines, buttons to confirm, send a pro forma invoice and send by email, and the milestone of the quotation being sent to the customer
  • Scheduling a follow-up call from Activities without leaving the full record view

Disabling autosave in Odoo 16 and dark mode6:32

Module developed by Binovo that lets you disable Odoo 16’s autosave so that changes are saved manually.

What the video shows
  • Native autosave in version 16: changes to a quotation are saved when leaving through the breadcrumbs, even if Save is not clicked
  • Risk: an unintended change in a less visible field, such as the sales team, is saved without warning
  • With Binovo’s Auto save prevent module installed, you are asked on exit whether to save the changes; answering No discards them
  • It applies to all forms (quotations, products, contacts); example of a customer tax deleted by mistake that is not saved
  • Dark mode: after installing the module, the Dark mode option in the user menu reloads the entire interface with dark colors

Dynamic contact geolocation2:37

Module developed by Binovo to see on a map where customers and suppliers are located.

What the video shows
  • New Map view button in Contacts that shows where companies and people are located, with the usual filters and zoom using the mouse wheel
  • Clicking a point displays the address, and from there the contact record can be opened
  • The same map view is available in CRM opportunities and in Sales
  • Requirement: a correct address on the contact, and clicking Update in the Partner Assignment tab to obtain the latitude and longitude

Binovo Odoo training platform3:47

Binovo’s training platform for taking Odoo courses and using it as a reference through a search engine.

What the video shows
  • Access via URL from any device with an internet connection, with the courses you are enrolled in on the left
  • Courses organized by topic and followed in strict order: you must complete one topic to move on to the next
  • Search bar at the top that finds all the content covering a given term, with the example of searching for “payments”
  • Each piece of content is a video with a voiceover that explains the procedure in detail, accompanied by a short written explanation below

CRM 1 video

AI in CRM: complete leads and instant pipeline insights6:13

Binovo’s AI agent fills in the data of a new lead (address, tax ID, phone, website) from the company name and answers pipeline questions in natural language from the Odoo chat: conversion rates by stage, closing probability, and next actions.

What the video shows
  • Voice request for a company’s tax report: the dictated text can be corrected before sending, and the summary arrives in the chat
  • Creating a contact and an opportunity in the CRM flow by instruction: the AI infers the amount and probability and assigns a salesperson and address
  • Changing the opportunity by instruction: three stars, move to the Qualified stage, and a new amount, visible after refreshing the browser
  • Query for opportunities with no customer assigned and navigation to the one the agent flagged as most promising, without telling it which one it is
  • Instruction to mark opportunities without a customer as lost: the agent asks for confirmation, creates a folded Lost stage, and moves them to it

Sales 1 video

Customer invoicing frequencies (Binovo add-on)4:08

Invoicing frequencies defined in a maintenance table and linked to the customer; the value is carried over to the sales order and the delivery note so you can filter or group records and consolidate invoicing.

What the video shows
  • Creating frequencies in Invoicing/Accounting > Configuration > Invoicing Frequency (example: Monthly)
  • Assigning the frequency to the customer in the Sales & Purchase tab of their record
  • The quotation inherits the customer’s frequency and allows it to be changed on that order; on the delivery note the field is read-only
  • In To Invoice > Delivery Notes to Invoice, filtering and grouping by Invoicing Frequency to select delivery notes and launch the invoicing order

Purchasing 2 videos

AI in Purchasing: supplier price lists and orders in seconds13:50

Binovo’s AI agent updates a supplier’s price list from a file, compares and ranks suppliers, and generates complete requests for quotation from an instruction in the chat. Everything stays in draft so that a person can review it.

What the video shows
  • Starting point in Purchasing, Vendors, Azure Interior: nine supplier prices with vendor product code and price, with no start or end date
  • The supplier’s Excel file (SKU, product, validity dates, and price) is attached to the chat, and the agent is asked to update the price list and list increases and decreases
  • Before acting, the agent asks which model stores the prices (product.supplierinfo), the supplier ID, and whether there are already existing prices
  • Result: prices and start and end dates updated, and a comparison with difference and percentage that can be downloaded as CSV and, on request, as XLSX
  • Query for products with zero or negative stock and for lots nearing expiry, and opening the product record after correcting an agent error
  • Assigning Azure Interior as the product’s vendor by instruction and creating a purchase quotation, verified in the order list
  • Ranking suppliers with the labels Optimal or Late according to how well they meet delivery deadlines on their orders

Educational centers: order sheets for supplies, works, and services12:54

Module developed by Binovo to manage order sheets for supplies, works, and services, with more control and better data analysis of supplier orders.

What the video shows
  • Creating the order sheet in Purchasing > Request for Quotation: supplier, expense area, sub-item, payment order (libramiento), and the requester’s department
  • Line with product, quantity, and price excluding VAT, on which the supplier’s actual and provisional available amounts depend
  • Control by supplier and year according to the contract type (15,000 or 40,000 excluding VAT): a warning appears on saving if the limit is exceeded
  • Validation request to the department head and a Validations tab showing the validators and the status of each validation
  • The head receives a notification, reviews the sheet, and approves or rejects it; without validation, the requester cannot confirm the order
  • Confirming the order reduces both the actual and the provisional available amounts; filters by status in My Order Sheets
  • Printing the minor contract report and the annexes with templates that can be edited when printing; file number assigned above a certain amount
  • Checking the available amount, contract type, and limit on the supplier record and in pivot tables by supplier, date, or payment order

Warehouse 3 videos

Stock forecasts in Odoo 16 to avoid stockouts16:32

Inventory feature in Odoo 16 that predicts product stock and tracks incoming and outgoing movements to avoid stockouts.

What the video shows
  • Access from Inventory, Products, the record of a storable product, Forecasted smart button
  • Availability chart over time, valuation of current stock, and the forecast formula: on-hand stock plus incoming minus outgoing
  • Movements table with the document that originates each reservation or receipt, its scheduled date, and the option to unreserve or reserve again
  • When the delivery note is validated (partial delivery), on-hand and outgoing stock go down, and the forecast remains unchanged
  • After unreserving, Check Availability on the delivery note reloads the lines and reserves the product again
  • Validating a receipt with no source document moves the incoming quantity to on-hand stock; a newly confirmed purchase order increases the forecast
  • A sales order exceeding the stock leaves the forecast negative: lines highlighted for delay and a Replenish button that creates the request for quotation
  • Confirming the purchase, receiving the pending delivery notes, and delivering to the customer until the forecast is back to zero

Returnable packaging management11:40

Module developed by Binovo to track and invoice returnable packaging.

What the video shows
  • Is Returnable checkbox on the packaging product records: empty bottle, 12-unit crate, and 24-unit crate
  • In the product’s Inventory tab, each package defines its returnables by product quantity or by package quantity
  • Creating a new package (24-unit crate) with its included quantity and its returnables: empty bottles by product quantity and crate by package quantity
  • In the quotation, changing the quantity or the package recalculates the Returnables section (24 units: one 24-unit crate or two 12-unit crates, and 24 empty bottles)
  • Delivery note with Products and Returnable Products tabs; the returnables come already marked as done and adjust to the delivered quantity
  • Warning on the delivery note when the returnable quantities do not match the product quantity done
  • Returning packaging through a new order with negative crate and empty bottle quantities, and validating its delivery note
  • In To Invoice > Deliveries to Invoice, Action > Invoicing Order on both delivery orders creates the draft invoice with deliveries and returns

How Odoo’s warehouse differs from other ERPs14:18

Advantages of Odoo over other ERPs in inventory management: how the tool behaves and what features it offers.

What you see in the video
  • In other ERPs, or on paper, the warehouse operator looks up or receives printed purchase orders, with the drawback of seeing prices, discounts and amounts
  • Confirming a purchase order generates a preliminary receipt with quantities, vendor and date, without prices, which does not count as goods entering stock
  • Example of a purchase of 4 units: as a request for quotation it does not affect the product and, once confirmed, the order shows the button for incoming shipments
  • On the product form the on-hand quantity stays at 0 and the forecasted quantity changes, along with the date on which the goods are expected
  • Warehouse staff work from the Inventory dashboard, in Receipts, where they see everything pending receipt without opening Purchase
  • Confirming a sales order for 3 units creates an outgoing delivery in the delivery orders, which stays on hold rather than ready because of lack of stock
  • The product’s forecast breaks down by date the incoming 4 and the outgoing 3, with the delivery brought forward according to the configured customer lead time
  • Locations: Odoo warns you but lets you take out stock you don’t have, and picking from a location other than the real one generates negative quantities, so if they are not managed it is best to use Stock only

Manufacturing 10 videos

Integrating Odoo with production machines (Industry 4.0)16:13

A visit to the vocational training center in Usurbil to see two integrations of Odoo with the workshop: an RFID tool store and a sensor-equipped conventional lathe connected to production management.

What you see in the video
  • Smart tool store: each tool carries an RFID tag and the student or teacher identifies themselves with their card when entering and leaving
  • On exit, the system detects which tool each person takes and links it to their manufacturing order; if someone enters without a card, an alarm goes off
  • Each tool has an identified cabinet, drawer and slot, and a screen shows who is inside and who is leaving with what
  • Conventional lathe fitted with a PLC and sensors for sound, consumption, speed, feed and temperature, as well as production times
  • The machine can only be started if the student identifies themselves and has a task booked on it; a traffic light indicates its status
  • Simplified touchscreens on top of Odoo: completed, pending and upcoming operations, drawing, theoretical cutting conditions and tools
  • When the operation starts, consumption, speeds and times are recorded, and a camera takes a photo every time the spindle starts or stops
  • Final report per operation: task time and machine time, speed chart, theoretical versus actual tools, and estimated cost of the part

Odoo Fieldbus (Industry 4.0)7:09

A prototype of a production plant connected to the ERP: integration between a simplified breadcrumb production plant and Odoo, within Binovo’s Fieldbus project to connect the production system (PLC, numerical control) with the management system.

What you see in the video
  • Approach: management and shop floor are both computerized but isolated from each other, and manufacturing parameters are configured by hand from ERP data
  • Prototype items: breadcrumbs by bag size, grain size and roasting level, on a line with a flour silo, oven, mill and bagging machine
  • SCADA integrated in the ERP that reflects the silo level and lets you start the line and change the oven power or the mill coarseness
  • A 30 kg production order in 10 kg bags launched with one button that configures and starts the line, which stops by itself once the three bags are complete
  • The order records the quantity produced, the actual weight and the weighing time of each bag, and preventive maintenance is proposed as the next step

Viewing and moving machine capacity7:15

Planning in Manufacturing v16 to view the capacity of machines or work centers by hour and workday, modify it by dragging and dropping, and merge manufacturing orders.

What you see in the video
  • The work center load (Configuration > Work Centers) shows the total per day, but not from what time to what time it is busy
  • Work Orders calendar view: manufacturing order, product, start and end time, and a line marking the current time
  • Drag a work order to another day or time to place it after another one; the list and the work center load are updated
  • Merging two manufacturing orders for the same product into one of 14 units, setting the start date and clicking Plan
  • The calendar only shows the work centers that have orders in the period displayed

Production load planning11:07

How to plan and split manufacturing orders to know the daily load of work centers and plan production with realistic delivery dates.

What you see in the video
  • Starting point: Lathe work center with a Monday-to-Friday calendar from 6 am to 10 pm (16 hours a day) and zero load
  • Bill of materials of product T1 with a single turning operation of 60 minutes per piece
  • Manufacturing order for 10 units scheduled at 12:00: when confirmed and planned, the 600-minute work order ends that day at 22:00
  • Unplan and replan at 18:00: Odoo spreads it over 4 hours on the first day and 6 hours on the next, respecting the calendar
  • The work center load chart allocates the 600 minutes to the start date, not to the actual split by day
  • Split action: number of splits, quantity, date and person responsible for each part; it only lets you split if the quantities add up to the order total
  • Result: orders 50-1 and 50-2 of 4 and 6 units, and work center load of 240 minutes on the 15th and 360 minutes on the 16th

Planned and actual material costs in Manufacturing v1617:52

A material costs module developed by Binovo for Odoo 16: it manages the planned cost of materials and the actual cost once manufacturing is finished.

What you see in the video
  • Example with the bill of materials for bread: flour, salt and water, and the operations of kneading (1 minute) and baking (60 minutes)
  • Work centers: hourly cost of the assembly station and the oven, and the effect of the oven’s 100-unit capacity on the planned time
  • Bill of materials overview for 100 units: planned cost of each component and each operation
  • Bill of materials Costs button on the manufacturing order: lines grouped by type with planned cost, actual cost and variance in euros and percentage
  • When you save consumed quantities that differ from the planned ones, the actual cost of each component and its variance are updated
  • The cost of a work order is calculated when time has been recorded (pause or finish), not while the operation is still in progress
  • Manufacturing order cost report in pivot view, groupable by product and by order
  • When the order is marked as done, the units enter at actual cost and the product’s average cost is recalculated for the average cost category

How Odoo calculates production costs27:17

How standard costs are calculated in Odoo 16, from bills of materials to production, with semi-finished products and subcontracting, and why they sometimes don’t add up.

What you see in the video
  • Example of a hunting knife with a complete bill of materials: handle scales, screws, tempered blade, sheath, book, box and a 5-minute assembly operation
  • The tempered blade is a subcontracted semi-finished product; its component, the untempered blade, is made from 0.10 of a steel sheet and a 2-minute stamping
  • The bill of materials overview report shows two columns: product cost and bill of materials cost
  • The product cost is read from the Cost field on the product form and can be set manually; when it is changed from 32 to 34, the report reflects it immediately
  • The bill of materials cost is the sum of components and operations (29.89 in the example) and does not have to match the cost on the product form
  • For raw materials, the cost comes from the Cost field on the product form, not from the vendor price, and is multiplied by the quantity used (two handle scales at 4.50 give 9)
  • Screws are consumable products and show neither available nor on-hand stock; storable products do have stock control by location
  • Comparing both columns helps detect misaligned product form costs, which matters if sales price lists are calculated on the cost price
  • The cost of an operation is its duration multiplied by the work center’s hourly cost: 5 min at 80 per hour gives 6.67; if it doesn’t appear, there is missing data to fill in
  • Work center capacity explained with examples of a cutting machine and a bread oven; oven warm-up is equivalent to setup time
  • The subcontracting cost comes from the vendor price on the product’s Purchase tab, which must belong to the subcontractor in the bill of materials
  • With two subcontractors that have prices (3.20 and 4.20), Odoo takes the lower-cost one; applying a different criterion requires custom development

Replenishing products from the bill of materials12:11

How to replenish products from the bill of materials in Odoo 16 MRP.

What you see in the video
  • Starting point: bill of materials overview report for the hunting knife, with no available or on-hand stock for any component
  • From the instruction book component, you open Forecasted and click Replenish, entering the quantity (20) and the preferred route, in this case buy
  • Odoo creates a request for quotation in Purchase that the purchasing manager reviews, can send to the vendor by email and confirms as an order
  • The expected date is calculated using the vendor lead time set on the product (one day in the example)
  • After confirmation, the product’s forecast and the bill of materials report show the 20 expected units and their arrival date
  • The receipt is validated from Inventory; when the report is refreshed, the component turns green as available with an on-hand stock of 20 units
  • When replenishing the fabric sheath (50) and the custom box (80) from the same vendor, both lines are grouped in the same request as long as it has not been confirmed
  • The receipt can also be done from the purchase order itself, adjusting the received quantity (85 boxes instead of 80) before validating

Manufacturing forecast: what can I make with my stock7:34

Odoo 16 MRP visually shows how much of a product can be manufactured with the current stock of components, which is useful with complex bills of materials.

What you see in the video
  • Table product with a bill of materials of one top, four legs and two types of screws; on-hand stock 0 and forecasted 1 because of a manufacturing order
  • The Manufacturing Forecast button shows, for each component, the quantity required, the on-hand and available stock and its status, as well as operations and costs
  • Storable components show stock quantities; screws, being consumables, appear as available without figures
  • Semi-finished products are broken down by level: tabletop, wooden panel (itself split into multilayer board and protective layer), with the units that could be produced
  • When the quantity to manufacture is changed from 1 to 8 tables, all requirements and the availability of each component are recalculated

Animal carcass breakdown with the Odoo MRP module30:19

A complete example of disassembly manufacturing with MRP: an Iberian pig yields byproducts with serial number, weight and expiry date, and their traceability is reviewed from the supplier all the way to the customer.

What you see in the video
  • Products involved: pig carcass breakdown (what is manufactured), Iberian pig (the component that is consumed) and the resulting acorn-fed cuts
  • Bill of materials for the breakdown: Iberian pig component, support for several revisions and an operation at the work center Cutting Room Tunnel 1
  • Operation with a manual duration of 60 minutes or one calculated by Odoo, and a work sheet with instructions as a PDF, a Google Slides presentation or text
  • Byproducts tab of the bill of materials: quantities per pig (two hams, two shoulders, offal, skeleton) and the cost percentage of each one
  • Traceability by product: unique serial number for ham, shoulder or loin because of their different weights, unique lot for offal and no tracking for jowl
  • Information button on the bill of materials: component availability, possible date based on the supplier’s lead time and expected cost
  • New manufacturing order for one unit: confirm and start, with the Draft, Confirmed, In Progress and To Close statuses visible in the list
  • Breakdown button: serial numbers already generated with date and time, and tab-key entry of the net and gross weight of each piece, with adjustable quantities
  • Review by the production manager: corrects the actual duration to 70 minutes, checks the lot consumed and the weights, and clicks Mark as Done
  • Actual cost of the order with the operation variance (16.67% higher) and receipt of the byproducts into stock with their serial numbers
  • Inventory > Products > Lots/Serial Numbers: weights, location and expiration, best before, removal and alert dates calculated from the product
  • Traceability button: source manufacturing order, pig lot consumed, supplier receipt and, after the sale, the customer’s order and delivery note

Features of the Manufacturing module (recorded in Odoo 11)37:42

An overview of the Manufacturing module: creating work orders and production orders, measuring efficiency and defining work centers. Recorded in Odoo 11.

What you see in the video
  • Manufacturing menu: production, work, unbuild and scrap orders, and master data for bills of materials, routings and work centers
  • Products in the Bearing category filtered in kanban and list views, with a free-length internal reference that can be changed at any time
  • “Bearing manufacturing” routing with a production location and an assembly operation at the assembly center, reusable for several products
  • Bill of materials for the precision bearing: 1 inner ring, 1 outer ring and 10 balls, each component consumed in the assembly operation
  • Other bill of materials options: manufacture or kit type, attachments with priority and byproducts obtained in the process
  • Confirming a sales order for 2 bearings generates the production order linked to the order and requests for quotation for purchase by supplier
  • Purchasing reviews prices, confirms the orders and receives the products, and the production order marks the availability of each component in red or black
  • Production orders grouped by status and shown in list, kanban and calendar views, with the start date calculated from the order’s delivery date
  • Assembly work order as seen by the operator: start, pause, resume, block or scrap, with time tracking against the planned duration
  • When finished, the lot or serial number is entered and the order is marked as done, which consumes the components and brings the finished product into stock
  • Closing the production order and validating the delivery note of the sales order with the units from the manufactured lot
  • Work instructions attached to the routing operation, which the operator sees on the work order before manufacturing

Accounting and finance 3 videos

Binovo AI Invoice Capture: reading vendor bills with AI18:25

Reads PDF vendor bills inside Odoo 16: it extracts the date, due date, order reference, subtotal, taxes and total, matches the bill with its purchase order and leaves it as a draft. It can create vendors and products from the bill. Nothing is posted automatically: a person validates every bill.

What you see in the video
  • Context: the Crea y Crece law and structured electronic invoicing (UBL, XML); PDFs are processed today and the functionality will be the same with other formats
  • Menu under Vendors: Process Bills, Processing Batches, Product Processing Map and AI Suggestions to match the expense product based on context
  • Settings (administrators): LLM model (Claude, OpenAI or a local one), destination journal, maximum tokens and vendor creation with their tax regime
  • Option to link purchase orders: it suggests the orders related to the bill so you can check that what is billed matches what was delivered in the delivery notes
  • Process Bills: PDFs are dragged into a batch, which records when and by whom they were uploaded, and intake can also be automated from a mailbox
  • Batch result: vendors identified, “No order” status, comparison of total and taxes against the PDF and manual editing before moving to Odoo
  • Correction through a prompt that teaches the AI concepts it has not read (for example shipping costs outside the lines) and a reprocess option
  • Create bills in Odoo: they are left as drafts with the original PDF, the expense product, the line items and an AI note summarizing the bill

Binovo AI Expense Capture: turning a receipt into an expense with AI18:25

Turns a photo of a receipt into a pre-filled expense in Odoo 16: the AI reads the amount, date and description, within the standard approval workflow. The video shows the employee’s expense dashboard, categorized examples with their project and analytic account, a real receipt being processed and an expense being created by dragging in the photo, also from a mobile phone.

What you see in the video
  • Expenses module: selecting beforehand the project that receipts are charged to and uploading receipts that have already been digitized
  • In mobile view (simulated in the browser) a camera icon appears to photograph the receipt, while in desktop view only the file upload icon is shown
  • When the receipt is uploaded or photographed, the AI processes it instantly: expense product (motorway toll), amount, date, employee and who paid for it
  • It assigns the accounting account linked to the expense type and adds a note describing the receipt, and the expense is flagged as processed by AI
  • Checking the amount and date against the original image on two toll receipts
  • The analytic account is added manually, either during capture or afterwards, and the expense is sent for approval until it is posted
  • Bulk upload: several receipts at once assigned to one project, or one by one assigning the project afterwards

TicketBAI: everything you need to know33:29

An explanation of the TicketBAI tax regulation of the Basque provincial tax authorities: who it applies to, how invoices and receipts are submitted, which practices are no longer possible and what penalties it provides for. It also covers how the collaborative development of the Odoo module to comply with it was organized.

What you see in the video
  • Origin: an anti-fraud initiative by the three Basque provincial tax authorities, designed for receipts and extended to all issued invoices
  • Timeline announced at the time: entry into force planned for January 2021 and postponed to January 2022 due to COVID-19; Navarre withdrew from the project
  • How it works: when an invoice or receipt is issued, an XML file is sent to the provincial tax authority and the document carries a QR code to verify its registration
  • Who is obliged: companies, self-employed professionals and corporations with their tax domicile in the Basque Country; only issued invoices, regardless of where the customer is located
  • With fewer than 100 invoices a year, they can be registered manually on the tax authority’s website using a digital certificate; with more, adapted software is required
  • Differences: Gipuzkoa requires immediate submission and line-level detail, Bizkaia allows a grace period and only the total amount, and Álava has yet to take a position
  • Mandatory registration of the implementing company and of the software version, which is held liable in the same way as its customer in case of fraud
  • Practical cases: a self-employed professional without software (tax authority website or accounting firm), a bar or restaurant with a POS and a garage with invoices and EDI
  • Offline, the receipt is printed and queued for submission; the tax authority replies accepted, accepted with errors or rejected
  • A replacement invoice for a simplified one and cancellation are allowed; invoices can no longer be reset to draft: always a credit note, with no gaps in numbering
  • Penalties: from €20,000 up to 30% of turnover for not using it, €2,000 for each omission and €40,000 for destroying records
  • Collaborative development in the Odoo community with GAIA as the point of contact: module in v11, migration to 8, 10 and 12, regulations and test servers still pending
