How to create warehouses correctly in Odoo19:04

How to create a warehouse correctly in Odoo. This is a delicate step that Binovo staff normally handle, but it is worth understanding how it works.

What the video shows
  • The importance of setting up inventory properly before purchasing, sales and manufacturing, and of deciding what is a warehouse and what is a location
  • Inventory > Configuration > Warehouses: creating a warehouse with a name, short name, company and optional address
  • Incoming shipments in 1 step (direct receipt), 2 steps (input location and then stock) or 3 steps (with quality control)
  • Outgoing shipments in 1 step (direct delivery), 2 steps (output dock and shipping) or 3 steps (pack, move to output and ship)
  • The steps configuration applies to all products in the warehouse; if you need different behaviors, you may need another warehouse
  • Manufacturing options (only with that module): consume directly, pick components and manufacture, or pick, manufacture and store
  • Checkbox to allow purchases to the warehouse and resupply from other warehouses
  • On saving, Odoo automatically generates the warehouse routes and the blocks in Overview, which is very hard to undo

Locations. Define your warehouse layout. Do this or you’ll get off to a bad start!26:04

How to lay out warehouse locations using the logic of a management software to optimize internal movements. It is not specific to Odoo.

What the video shows
  • The approach: adapt the warehouse naming scheme to the ERP’s logic instead of later modifying the ERP to fit the warehouse
  • Sample layout: a floor-level warehouse with four rows A, B, C and D of five bays each, a computer workstation and an output dock
  • Usual labeling (A1 to A5, B1 to B5, etc.) with all rows numbered in the same direction
  • The ERP does not know the physical position of the locations and always suggests them in alphabetical order
  • Route of a picking with A1, A3, A5, B2, C5, D1 and D5 using the usual labeling: empty trips back at the start of each aisle
  • Theoretical optimal route for those same locations as a benchmark
  • First solution: number each row starting where the previous one ends so that alphabetical order describes a continuous route
  • Drawback of that solution: it confuses the operator because number 1 starts at a different end in each row
  • Second solution, aisle system: one code per aisle with odd numbers on one side and even numbers on the other (A1 to A10 and B1 to B10)
  • Equivalent of the sample locations in the aisle system and the resulting route: A1, A4, A5, A9, B2, B9 and B10
  • Comparison: the aisle system is slightly less efficient than the first solution, much more efficient than the usual one, and easy to understand
  • Adapting the numbering direction depending on whether the aisle is a through aisle or not, balancing the shortest route against understandable logic

Key concepts for naming locations correctly23:24

Preliminary tips on naming conventions for warehouse locations.

What the video shows
  • General principle: simple, intuitive labeling for the operator that reduces errors even if it is less symmetrical; example of an IKEA-style warehouse
  • Aisles identified with letters versus numbers: letters are less intuitive and easier to mix up
  • Numbering each side of a shelving unit as its own aisle so there is no need to say right or left
  • Using leading zeros (01, 02, 03) because the ERP sorts locations alphabetically
  • Avoiding prefixes such as the P for aisle (pasillo), which the operator has to read without gaining any information
  • Module: a section of shelving separated by a cross aisle, numbered 01, 02, or identified as left and right
  • Position: the bay between two vertical uprights within the module
  • Height: level 00 for the floor and subsequent levels; suggestion to paint each height a different color and add its letter to the code (for example 02V)
  • Optional sub-position within the bay (1, 2, 3 or A, B, C), useful with fixed locations and impractical with chaotic storage
  • The full location code and reading aids: separator hyphens, identifying letters and different font sizes on the label

Example of creating locations in an Odoo warehouse20:04

Creating a warehouse’s locations and an explanation of their most relevant fields.

What the video shows
  • Configuration > Locations grouped by warehouse: the ones Odoo creates by default (input, quality control, stock, output, packing, pre- and post-production)
  • Locations created by default cannot be deleted or archived; at most they can be renamed
  • The warehouse’s stock location: cycle inventory counting and removal strategy (FIFO, LIFO, closest location and FEFO if there is an expiration date)
  • Creating a child location of ALM3/Stock with a name coded by aisle, module, position and height
  • Location types: vendor, view, internal, customer, inventory loss, production and transit between warehouses
  • Scrap location and return location checkboxes, blocking of stock input, storage category and replenish location
  • Optional aisle, rack and height fields for classification, and maximum weights and volumes from a proprietary Binovo module
  • Action > Duplicate to create the remaining heights; Odoo sorts locations alphabetically by their full name
  • Grouping the locations list by warehouse, aisle and height
  • Viewing a location’s contents from Inventory Adjustments, filtering by location and grouping by location, product or lot
  • Printing the location barcode and the alternative of exporting locations to Excel for a label-printing program

Products and variants 2 videos

Creating a product correctly and how to get basic information36:40

How to create a product correctly and what each option implies, plus the most common queries, such as current and future stock.

What the video shows
  • Product type (storable, consumable or service): differences in stock control and the options that appear on the product form depending on the type
  • Services appear on quotations, orders and invoices but not on delivery notes, which determines whether you invoice by order or by delivery note
  • Unit of measure: it cannot be changed once the product is created; the egg example (unit, dozen, pallet) and the minimum return criterion
  • Attributes and variants: a size attribute with values S, M and L that generates three variants, each with its own reference and barcode
  • The Can be Sold and Can be Purchased checkboxes that determine whether the product appears in sales and purchasing, and how they differ from routes
  • Inventory tab: Buy (active by default) and Manufacture routes, traceability by lots or serial numbers, weight, volume and lead times
  • Extra prices per attribute value so that each variant has a different sales price based on the product price
  • Purchase order with the three variants and a receipt specifying the lots and quantities of each one before validating
  • On Hand button: stock by location, variant and lot, grouped by product or by lot
  • Forecasted button and forecast report: current stock plus expected incoming minus outgoing, chart by date and detail by variant
  • Effect on the forecast of a purchase order with a future delivery date and of a confirmed sales order
  • Reserving stock for a sales order, canceling the reservation from the delivery note, and the product’s lots, ins and outs buttons

Variant code and internal reference configurator5:12

A wizard that automatically generates the codes or internal references of product variants.

What the video shows
  • In Inventory, in the product attributes, each value has a “value for the variant reference” (L for LED, LR for backlit LED)
  • In the attribute you choose whether that code goes as a prefix or suffix of the base pattern and the separator that goes with it (hyphen, slash)
  • On the product, after adding attributes and values under Attributes and Variants, you enter the base for the reference (for example PT8000)
  • On saving, the variants are generated with the reference already composed, such as PT8000/L-6D or PT8000/LR-8D
  • The reference is only calculated when the variant is created and can later be edited manually by opening it

Stock and inventory 5 videos

How to update and check a product’s stock in Odoo14:24

The ways a product’s stock changes: direct adjustment, inventory count, purchase, sale and scrap; in production, also when consuming and manufacturing, and in transit between warehouses.

What the video shows
  • A product is duplicated to create another one with three size variants (S, M and L) and lot tracking
  • Update Quantity button: new record with location, variant, lot (which can be created on the spot) and counted quantity, and Apply or Apply All
  • The On Hand button shows stock by lot and location, and lets you group by location or by lot or serial number
  • In Inventory Adjustments you search for the product and correct the counted quantity (from 24 to 12); on applying, the difference movement is generated
  • Purchase to another warehouse: on confirming, the receipt is generated, where you specify lots, quantities and location before validating
  • Operations, Scrap: you specify product, location, lot and quantity; only the lots that exist in that location are offered
  • Sale: the order warns you if there is no availability in the chosen warehouse; with stock available, the delivery note suggests the lot according to the removal strategy
  • After each operation, the new on-hand quantity is checked on the product (72, 60, 84, 77 and 75 units)

How to detect stockouts and fix them right away9:39

A graphical stock management system that shows which products are going to go negative before it happens and lets you act from the same screen.

What the video shows
  • Example: a sales order for 40 units against a warehouse holding 15, with delivery scheduled a week later; the order already warns of the lack of stock
  • The product’s on-hand quantity does not change; in Products, the negative forecasted quantity filter is applied to find the affected items
  • The Forecasted button shows the stock trend by warehouse and date, with the outgoing movement in red, the 15 units reserved and the 25 that are missing
  • Replenish button: suggests the missing quantity and uses the product’s route (buy, manufacture or resupply) or a preferred route
  • On confirmation, a request for quotation is created for the vendor configured on the product, accessible from the report itself
  • In the quotation, the quantity (from 25 to 50) and the delivery date can be changed before confirming the purchase order
  • The forecast report is recalculated with the expected receipt, and the product no longer goes negative on the delivery date

How to find products with zero or negative stock4:06

How to look up products with zero or negative stock and how to fix them.

What you see in the video
  • A word of warning: with minimum stock rules, vendors filled in and stockout control in place, you shouldn’t need to search for products at zero
  • In Products, Filters, Add Custom Filter: on-hand quantity equal to 0
  • A product with variants appears even if it has total stock when any of its variants is at zero; you can check this by opening the variants
  • It is resolved with the Replenish button, specifying warehouse, route and quantity
  • The same filter supports other conditions: on-hand quantity less than 0 (negative) or between two values

How to carry out an inventory count of your warehouse in Odoo11:28

Inventory in Odoo 16, simplified compared to previous versions: it supports both continuous and year-end inventories.

What you see in the video
  • Access via Operations, Inventory Adjustments; the list shows only the first 80 records, so you need to check the pagination
  • Inventory of a single product: search for it, sort by location and review each line with its location, lot and quantity
  • Enter the counted quantity on each line, Odoo shows the difference from the theoretical quantity, and you confirm with Apply
  • The History button shows who made the adjustment, when, and the quantity, lot and location involved
  • Several operators can count at the same time in different tabs, one per product and another per location, without interfering with each other
  • Grouping or searching by lot to correct negative quantities, and also by warehouse, category, product template or serial number
  • Year-end inventory: counts are assigned to users, each one filters their own, enters what was counted and applies everything with a reference

What the warehouse dashboard is and how to use its options4:38

What the Inventory module’s overview screen is, what it is used for and what you can do from this dashboard.

What you see in the video
  • Warehouse filter to show only its cards; the dashboard gathers all the pending work for the manager and the warehouse operators
  • Receipts: incoming goods from vendors or from transfers between warehouses, with counters for operations to process and late operations
  • Internal transfers (movements between locations in the same warehouse), deliveries (outgoing goods for sales) and returns
  • Additional cards depending on the installed modules: subcontractor resupply, manufacturing and point of sale orders
  • Menu on each card: color, view ready or waiting, immediate or planned transfer, and settings, depending on the user’s permissions

Receipts and movements 7 videos

Receipts and incoming goods forecast in my warehouse12:01

What you see on the receipts screen and how to manage the forecast of products arriving at the warehouse.

What you see in the video
  • Receipts card on the inventory overview: shortcuts to all receipts, to those pending processing and to late ones
  • List view of receipts to process with the source order, the scheduled date and the days of delay
  • When a purchase or sales order is confirmed, Odoo generates a planned transfer, a copy of the order without prices, which the warehouse handles
  • Example: a purchase order with an expected delivery date, which appears among the receipts of the warehouse specified in the order
  • Filters for late receipts and planning issues, and grouping by contact or by scheduled date by week and day
  • Changing the scheduled date on the receipt when the vendor confirms a delay, so that it is no longer shown as late
  • The full list mixes completed, cancelled and ready receipts and is useful for checking whether a specific order has arrived
  • Immediate or planned transfer makes no sense for receipts, because incoming goods are originated by the purchasing manager

Processing a full receipt, a partial receipt and a receipt with lots9:42

Examples of receiving goods: full, partial, with lots and with more quantity than requested.

What you see in the video
  • Locating the receipt by searching by transfer number or by purchase order number
  • Full receipt: Validate without entering quantities processes everything expected and the transfer moves from Ready to Done
  • The transfer history records the user and the moment the goods were received
  • Partial receipt with lots: the received quantity (12 of 50) and the lot or serial number are entered in the line details
  • Backorder wizard: create a backorder for the difference (38) or don’t create one if the vendor is not going to send the rest
  • The purchase order shows both receipts, the completed one and the pending one, without having to ask the warehouse
  • Over-receipt: 40 arrive instead of 38, the change is recorded in the history and the order shows 52 received out of 50 ordered
  • The mechanics of expected quantity and done quantity are the same in internal transfers, deliveries and returns

Scrap or Return a product? What’s the difference?8:22

The difference between scrapping and returning goods, and what each action implies for stock, order control and invoicing.

What you see in the video
  • Concept: when scrapping, the company bears the cost; when returning, the vendor bears it
  • Starting example: a purchase order for 100 units in a one-step warehouse, confirmed and fully received
  • Scrap button on the transfer: you choose the product and the quantity (3), which is moved to the scrap location
  • The transfer shows a button with the scrapped items, the order still shows 100 received, stock is 97 and the invoice is generated for 100
  • Return button on the transfer: you enter the quantity (6) and the vendor location, and an outgoing transfer is created
  • The return transfer appears among the warehouse’s deliveries and must be validated in order to send the goods back to the vendor
  • After the return, the order’s received quantity changes to 94 and the vendor bill is created for 94 units

Processing a receipt in a two-step warehouse5:30

The difference between receiving in a single step and doing so in a two-step warehouse: input to dock and then to storage location.

What you see in the video
  • Purchase order confirmed against the two-step warehouse, whose receipt is located in Inventory by grouping by warehouse
  • Before the receipt is validated, there is no internal transfer related to the order
  • When the receipt is validated, the goods enter the input location and the pending internal transfer appears
  • In the internal transfer, the destination location is set on the movement line, not in the header, and then it is validated
  • In three steps, an intermediate quality location is added and three movements are generated instead of two

A very common mistake: choosing the wrong option on "Create Backorder"3:43

One of the most frequent queries to Binovo support: part of the goods arrive, the receipt is validated without creating the backorder and afterwards there is no transfer for the rest. This video explains the right way to do it.

What you see in the video
  • Example: a purchase order for 66 units, 6 are entered by mistake in the receipt and it is validated by choosing No Backorder
  • Consequence: the order is left with 6 units received out of 66 and with no pending transfer for the remaining 60
  • Solution: duplicate the receipt, leave the line with the 60 missing units and save
  • Mark as To Do and validate the new transfer when the goods arrive, so the order’s received quantity changes to 66
  • A transfer created from scratch, without duplicating the original, is not linked to the order and does not update the received quantity

Common mistakes when receiving goods4:52

What to do when the goods have arrived but the receipt was recorded incorrectly: the wrong way and the right way to fix it.

What you see in the video
  • A purchase order for two units, where the receipt is validated with only one unit and without creating a backorder
  • Incorrect attempt: unlocking the transfer and changing the demand or adding another line, which causes an error because of the cancelled movement line
  • If the cancelled line is deleted and another is added, the stock is correct but the order still shows one unit received and only one would be invoiced
  • Right way: unlock the transfer, enter 2 in the done quantity, save and lock it again, so the order shows two received
  • Difference from a second delivery arriving another day, in which case the transfer is duplicated to record another receipt

Touch interface for warehouse movements in Odoo8:30

A module that adds a visual, intuitive touch interface for recording warehouse movements and consumption from a tablet.

What you see in the video
  • It is configured in Inventory, Operations, Touch Interface Configuration, and you can create as many interfaces as there are source locations or warehouses
  • In each interface you define the source location, the consumption operation type (deliveries) and the movement type (internal transfers)
  • The exit action leads to a configured menu, or kiosk mode is activated, which removes the close button so the tablet can’t leave the screen
  • In Consume, you select the products to add them to the basket, for lot-tracked products you choose the lot, and out-of-stock products are flagged
  • The search bar searches everything at once or only by name, barcode, internal reference, lot name or lot reference
  • On saving, the delivery is created directly in Done status, as can be checked in the Inventory operations
  • For an internal movement, you choose the destination location and the products, and on saving an already completed internal transfer is generated

Automatic location and capacity 5 videos

How do you set a default location for a product?8:56

Using putaway rules so that a product has a default location when it arrives, so that it is always in the same place and easy to find.

What you see in the video
  • Prior activation of the Storage Locations option in the Inventory settings, which is required for the rules to work
  • Access to Putaway Rules: when a product or a category arrives at a location, it is stored in another one that you specify
  • Creating a sample storable product and a rule that moves it from the stock of warehouse 2 to a specific location
  • Purchase order for six units delivered to warehouse 2 and validation of the receipt, whose move detail shows the location from the rule
  • Checking the product’s on-hand stock and the contents of the destination location
  • Duplicating the location and adding a second rule for the same product: the one higher in the list is applied, not the oldest or the most recent
  • The order also decides between a category rule and a product rule, so the rules need to be sorted correctly

Automatic location assignment for a product15:38

How to make Odoo assign a unique location to each product as it is purchased, without having to define each product’s location by hand.

What you see in the video
  • Enabling the Storage Categories option in the Inventory settings, which adds that menu under Configuration
  • Creating the “Single-product locations” category with Allow New Product limited to the location containing that same product
  • Creating locations MR001, MR002 and MR003 inside warehouse 2 and assigning them that storage category
  • Creating three sample storable products: yogurt, cream and custard
  • Putaway rules: whatever arrives in the stock of warehouse 2, whichever product it is, is moved to MR001, MR002 or MR003
  • First purchase order for cream to warehouse 2: the receipt suggests MR003 because it is the first of those rules in the list order
  • Second order with cream and yogurt: the cream goes to MR003 again and the yogurt goes to the next free location, checked in the current stock of each location
  • Third order with custard, which takes the remaining location, and a reminder to specify warehouse 2 on the order so that the rules are applied

Common putaway strategy mistakes in Odoo6:39

Limits of putaway strategies in Odoo 16: they only apply to purchase receipts and not to other movements, such as inventory adjustments, which, if done incorrectly, can leave the rule without effect.

What you see in the video
  • Putaway strategies only act when receiving a purchase, not on shipments, returns, manufacturing or internal transfers
  • Using Update Quantity, 67 units of cream are entered into MR003, a single-product location already occupied by fresh cheese, and Odoo accepts it without any check
  • A later purchase order for cream and fresh cheese sends both products to freezer 1, because the location is no longer single-product
  • The error is the operator’s and not Odoo’s, and Binovo is planning an additional module that applies these checks outside of receipts as well

Managing product capacity by location8:58

Maximum number of units, kilos or meters of a product that a location category can hold. The limit is set per category, not per location.

What you see in the video
  • In the single-product location category, the Capacity by Package tab sets the maximums: 10 yogurts, 10 creams, 67 custards and 10 fresh cheeses
  • Starting situation: MR1 with 6 units of yogurt, MR2 with 6 of cream and MR3 with custard and fresh cheese mixed together despite being single-product
  • The order of the putaway rules is reviewed: refrigerator, MR3, MR1, MR2 and then the remaining locations
  • A purchase order for 40 yogurts and 40 creams exceeds the capacity, and the receipt suggests the freezer, the next rule that accepts any product
  • With an order of 3 and 3 units, which do fit, the receipt suggests MR001 for the yogurt and MR002 for the cream
  • The empty location condition, modified in a previous video, sent everything to the freezer until it was restored
  • Odoo does not split the quantity between locations (4 in MR001 and the rest elsewhere) because it does not know the smallest divisible unit; this would require custom development
  • The custard and fresh cheese would still go to the freezer because MR3 does not meet the single-product condition

Weight and volume control in locations. Warehouse safety in Odoo26:10

Module that defines a maximum weight and volume for each location; it warns and blocks the placement of goods if they are exceeded. Includes a report on the status of locations and a filter for those that are saturated or at risk (above 90%).

What you see in the video
  • The maximum weight prevents overloads and accidents, while the volume is indicative because actual occupancy depends on how the goods are arranged
  • In Inventory, Locations, location B020403 is created under the warehouse stock location and the Maximum Weight and Maximum Volume fields are filled in
  • Next to each maximum, the occupied weight and volume accumulate as products come in, and only the warehouse manager can configure the maximums
  • It makes no sense to set a maximum weight on floor locations or on the warehouse’s parent location
  • The Location Load report (Inventory, Reporting) shows the percentage of weight and volume occupied, by warehouse, in green, yellow from 70% and red
  • The Risk filter shows only the red locations so that the warehouse manager can review them
  • On the storable product, weight and volume are entered in the Inventory tab, and an adjustment of 5 washing machines of 10 kg brings the location to 50% of its weight
  • With two-step receipts, the purchase first goes into the input location, without limits, and does not affect the load until the internal transfer is made
  • In the internal transfer, the destination location is changed, also checking it in the detailed operations, and when validating, the load rises to 80% and 90%
  • When validating a transfer that exceeds 100 kg, a validation error appears and the move is left ready but not done for the warehouse user
  • The warehouse manager can bypass the restriction, for example when the recorded stock does not match the actual stock
  • Changing the destination to a location without weight control, the validation completes and the stock is split between both locations

Binovo developments and extras 3 videos

Stock forecasts in Odoo 16 to avoid stockouts16:32

Inventory feature in Odoo 16 that forecasts product stock and tracks incoming and outgoing movements to avoid stockouts.

What you see in the video
  • Access from Inventory, Products, a storable product’s form, Forecasted smart button
  • Availability chart over time, current stock valuation and forecast formula: on-hand stock plus incoming minus outgoing
  • Movements table with the document that originates each reservation or receipt, its scheduled date and the option to unreserve or reserve again
  • When the delivery order is validated (partial delivery), on-hand and outgoing stock go down, and the forecast stays the same
  • After unreserving, Check Availability on the delivery order reloads the lines and reserves the product again
  • Validating a receipt with no source document moves the incoming quantity to on-hand stock; a new confirmed purchase order increases the forecast
  • A sales order larger than the stock leaves the forecast negative: lines highlighted for delay and a Replenish button that creates the request for quotation
  • Confirming the purchase, receiving the pending delivery orders and delivering to the customer until the forecast is back at zero

Returnable packaging management11:40

Module developed by Binovo to track and invoice returnable packaging.

What you see in the video
  • Is Returnable checkbox on the packaging product form: empty bottle, box of 12 units and box of 24 units
  • In the product’s Inventory tab, each package defines its returnables by product quantity or by package quantity
  • Creating a new package (box of 24) with its included quantity and its returnables: empty bottle by product quantity and box by package quantity
  • In the quotation, when the quantity or the package is changed, the Returnables section is recalculated (24 units: one box of 24 or two of 12, and 24 empty bottles)
  • Delivery order with Products and Returnable Products tabs; the returnables come already marked as done and are adjusted to the quantity delivered
  • Warning on the delivery order when the returnable quantities do not match the quantity of product done
  • Returning packaging through a new order with negative quantities of boxes and empty bottles, and validating its delivery order
  • In To Invoice > Delivery Orders to Invoice, Action > Invoicing Order on both delivery orders creates the draft invoice with deliveries and returns

How Odoo’s warehouse differs from other ERPs14:18

Advantages of Odoo over other ERPs in inventory management: how the tool behaves and what features it offers.

What you see in the video
  • In other ERPs or on paper, the warehouse worker looks up or receives printed purchase orders, with the drawback of seeing prices, discounts and amounts
  • When a purchase order is confirmed, a preliminary receipt is generated with quantities, supplier and date, without prices, which does not count as the goods being received
  • Example of a purchase of 4 units: as a request for quotation it does not affect the product and, once confirmed, the shipments-to-receive button appears on the order
  • On the product form, the on-hand quantity stays at 0 and the forecasted quantity changes, with the date on which the goods are expected
  • Warehouse staff work from the Inventory dashboard, under Receipts, where they see everything pending receipt without going into Purchase
  • When a sales order for 3 units is confirmed, an outgoing delivery order is created under delivery orders, which stays on hold rather than ready because of a lack of stock
  • The product’s forecast details by date the receipt of 4 and the delivery of 3, with the delivery brought forward according to the configured customer lead time
  • Locations: Odoo warns but lets you take out stock you don’t have, and taking from a location other than the real one generates negative stock, so if they are not managed it is best to use Stock only

Frequently asked questions about warehouse management in Odoo

How do you do an inventory count in Odoo 16?

In Odoo 16 inventory counting has been simplified: it can be done continuously or at year-end, counting by product or by location and applying the stock adjustments.

Can Odoo assign locations automatically?

Yes, with putaway rules: each product can have a default location when it comes in. In Odoo 16 these rules apply to purchase receipts, not to other movements.

How do you anticipate stockouts?

Odoo shows graphically which products are going to run negative before it happens and lets you trigger the purchase or manufacturing from the same screen.

Can you control the weight and volume of each location?

Yes, with a Binovo module: each location has a maximum weight and volume, Odoo warns and blocks if they are exceeded, and a report shows the saturated locations.
