  • The process is repeated for the “Asia” type, with its own sequence and sales journal

Entering a quotation header10:33

The quotation header: customer details (delivery and invoicing), quotation template if applicable, order type and related data. If the customer record is complete, it gets filled in faster.

What the video shows
  • It is advisable to have the customer record (sales and purchases, invoicing) completed so that the data carries over to the quotation
  • The Sales list shows quotations and orders together, with filters to see only your own or only quotations
  • With no customer data, Odoo takes the default order type and, from it, the price list, payment terms and due date
  • Customer invoicing and delivery addresses, which can be changed (for example, a delivery to a job site)
  • Quotation template, due date, price list, payment terms and payment method are editable
  • It is recommended to choose the order type first, because changing it overwrites the other data
  • The quotation number is assigned when saving
  • With a customer whose record is complete, the order type, payment method and price list carry over

  • Delivery date
  • Tracking: source document, opportunity, campaign, medium and source
  • Example with an intra-EU customer: payment method, fiscal position and direct debit mandate are carried over
  • Creating a quotation from a CRM opportunity, which fills in the tracking data

Optional products in a sales quotation2:11

What the video shows
  • In the Optional Products tab of the quotation, you add the product with its description, its price and, if desired, a discount
  • When the quotation is printed, the optional products appear after the order lines and the total

What the video shows
  • Confirm button on the sent quotation: it moves to order status and is locked
  • The customer signature tab remains empty because it was not signed online
  • An email is sent to the customer stating that their quotation has been confirmed; it is worth reviewing its text

Online confirmation of a quotation0:16

With online signature enabled, the customer opens the quotation from the email they receive and confirms it themselves.

What the video shows
  • Prerequisite for sending quotations by email: having an outgoing mail server configured

Comments on the order and message thread4:04

Comment thread with the customer about a quotation, visible in the chatter. Incoming and outgoing mail servers must be configured.

What the video shows
  • The customer opens the quotation with “Accept and Sign”, reviews the lines and sends a query from the page itself
  • The salesperson receives an email notification that the customer has viewed the quotation, along with the note, thanks to the configured incoming mail server
  • The query is logged in the quotation’s chatter and is answered from there, with the option to attach documents and emojis
  • In the example, the delivery date is first entered in the quotation and then communicated in the reply
  • The customer receives the reply by email and a message thread is maintained between both parties

How to manually cancel a quotation2:48

  • When they click Reject, a pop-up window appears to write the reason and the page states that the quotation has been rejected
  • The salesperson receives messages that the customer has viewed the quotation and that they have rejected it, with their comment
  • In Odoo, the quotation moves to cancelled status and the reason given by the customer is logged in the history

How to delete a sales quotation in Odoo2:16

A quotation in quotation or cancelled status can be deleted directly; one that has already been sent must be cancelled first.

What the video shows
  • Cancelled quotation: it is deleted from the form with Action > Delete or from the list view by selecting the record
  • Unsent quotation: Action > Delete with a confirmation pop-up window, also from the list view
  • Quotation already sent to the customer: Odoo does not allow it to be deleted directly
  • In that case, it is first cancelled, notifying the customer, and then it can be deleted

Sales orders 7 videos

Confirming a sales order6:55

What happens when a quotation is confirmed and turned into an order: how it is reflected in the list view, the “sales order” and “locked” statuses, and the smart buttons for deliveries, manufacturing orders and purchase orders, with a brief look at Purchase and Manufacturing.

What the video shows
  • Sent quotation with three lines: availability indicator per line and delivery policy “when all products are ready”
  • When confirmed, it becomes a sales order and, by configuration, locked, so that only sales managers can unlock and modify it
  • Delivery smart button: opens the delivery order with the quantities already reserved and the lines without availability or with pending units
  • Product with a purchase route and no stock: on confirmation, the Purchase smart button also appears, with a purchase order automatically generated for the vendor
  • Product with the “Manufacture” and “Replenish on Order (MTO)” routes: on confirmation, the manufacturing order is created with its bill of materials

Confirming orders with service-type products2:22

Specific case of services: when the quotation is confirmed, a project and a task are generated, linked from the order through smart buttons.

What you see in the video
  • Quotation with a service (lighting cost-reduction study, 1,500 euros) configured to create a project and a task
  • When the order is confirmed, two smart buttons appear on it: the generated project and the task linked to that project
  • Unlike physical products, no delivery order is generated, because a service is not delivered by means of a delivery order

How to duplicate a sales order in Odoo1:27

Duplicating an order creates a new quotation with its own number, and its data can be edited.

What you see in the video
  • Duplicate action from the order itself, which generates a new quotation with a different number
  • Editing the duplicate before saving: changing the customer, order type, direct debit payment method and applying a 10% discount to the lines

What does the Chatter, or sales order history, offer?5:49

The chatter shows how a quotation or order has evolved: acceptances, changes to the taxable base or the total, message thread and attachments.

What you see in the video
  • When a quantity is changed and saved, the chatter logs the change in the taxable base and the total
  • Sending the quotation by email is recorded, as is the moment the customer viewed it
  • The customer’s acceptance and signature appear in the chatter; the quotation becomes a sales order and is locked
  • Send a message to the customer, log an internal note and schedule activities (such as a call), which can be edited, cancelled or marked as done
  • Attachments from the generated quotations and other documents, follower management, and the option to follow or unfollow the document

Modifying orders: Changes outside the order lines3:01

Changes that can be made to the order, mainly in the header, depending on its status.

What you see in the video
  • In the Sales Order status, when unlocked, greyed-out fields cannot be edited and those shown in black can, including those on the Other Info tab
  • The lines allow you to change the description, quantity and price; once the order is locked, they can no longer be edited
  • When the delivery address is changed, a warning appears prompting you to change it on the already generated delivery order as well
  • Payment terms and payment method can be changed as long as the invoice has not yet been generated
  • Changes are saved manually, and it is then recommended to lock the order again

How to increase the quantity of an order whose delivery order has not been validated2:28

As long as the delivery order has not been delivered, the quantity can be increased on the sales order and the change is carried over to the delivery order.

What you see in the video
  • Starting point: a locked sales order, which must be unlocked, and a delivery order with reserved quantities that have not yet been processed
  • The 180 W light bulb line is increased from 5 to 10 units and the order is saved
  • The chatter records the change in the ordered quantity; there is no delivered or invoiced quantity yet
  • On the delivery order, the demand and the reservation go up to 10 units, provided there is stock available to reserve

How to decrease the quantity of an order whose delivery order has not been validated1:30

As long as the delivery order has not been delivered, the quantity can be reduced on the sales order and the change is carried over to the delivery order.

What you see in the video
  • With the order unlocked, the 80 W light bulb line is lowered from 20 to 5 units and the order is saved
  • The order’s chatter records the change in quantity, taxable base and total
  • On the delivery order, the demand and the reservation drop to 5 units and its chatter records the modification

Deliveries and delivery orders 5 videos

Managing delivery orders from the Odoo Sales module5:07

Where to access delivery orders, how they are normally managed and the information they contain. This is an administrative view; the operational side is covered in the Inventory module.

What you see in the video
  • Accessing the delivery order from the Delivery button on the sales order; when the order is confirmed, the goods are reserved, depending on the configuration
  • Delivery order buttons: validate, set quantities, print, print labels, unreserve, scrap, unlock and cancel
  • Set Quantities copies the reserved quantity to the Done column on all lines, after which the delivery order is validated
  • Unreserve releases the units for another, higher-priority order; Check Availability reserves them again
  • Done quantities can also be entered manually, which is the usual approach for partial deliveries

How to make a partial delivery of goods for a sales order4:01

Partial delivery of an order on different dates (at the customer’s request, due to delivery policy or depending on stock) until the ordered quantities are completed.

What you see in the video
  • Order S0071: the delivery order has two available lines and a third with no availability, with a forecast of -20 units
  • Check Availability reserves only the first two lines; the quantities are set (using the button or manually) and the order is validated
  • In the pop-up window, Create Backorder is selected: the delivery order is closed with what has been delivered and another one is generated, on hold, for the 20 units
  • A purchase order for 100 units of the missing product is created, confirmed, and the goods are received
  • The pending delivery order changes status, quantities are set and it is validated, and the order is fully delivered

How to make several partial deliveries for the same sales order4:01

Several partial deliveries on different dates (at the customer’s request, due to delivery policy or depending on stock) until all the quantities on the order are completed.

How to cancel the quantity pending delivery on a sales order4:52

Partial delivery of an order, cancelling the pending goods (at the customer’s request, lack of stock, etc.). A line is generated in operations with the unprocessed units and an exception is logged in the order’s chatter for the sales department.

What you see in the video
  • Order with 75 units of a product, of which the delivery order reserves only 65; in Operations, the red indicator shows the 10 that are missing
  • From that indicator you can see the reservations from other orders and cancel a reservation to give priority to the most important order
  • The done quantities are set, the order is validated and, in the pop-up window, the option not to create a backorder is selected
  • The delivery order shows 10 undelivered units and the order shows 65 delivered out of the 75 ordered
  • An exception appears in the order’s chatter and activities, which is marked as done with a comment about the customer’s decision

How to handle delivering more than the quantity required on an order2:15

Confirming an order and delivering more than the quantity ordered, and how this affects the data generated in the process.

What you see in the video
  • Starting with an order with three lines, we check that, after deducting reservations from other orders, five units are still free
  • On the delivery order, the line is corrected by entering 25 units done instead of 20, and the order is validated
  • The order keeps the ordered quantity (20) but shows 25 delivered, and the invoice will be generated for 25 units

Sales invoicing 4 videos

Invoicing a sales order in Odoo7:54

Invoicing sales orders. Depending on whether the product is invoiced based on ordered or delivered quantities, you can invoice without a delivery order or you have to wait until the goods have been delivered.

What you see in the video
  • Sales invoices are created manually, from delivered delivery orders or from sales orders
  • The product’s invoicing policy (ordered or delivered quantities) determines when the order can be invoiced
  • Example: of three units ordered and two delivered, only the two delivered units are invoiced
  • “Create Invoice” button on the order, regular invoice option; the invoice remains in draft status so it can be reviewed
  • The invoice links to the order and to the delivery, and the order shows its invoice
  • From the list view, several orders are selected and Action > Create Invoices is used
  • Taxes, fiscal position, payment method and payment terms come from the customer record and the product
  • On confirmation, the sequential number is assigned and the journal entry is posted

Invoicing sales delivery orders in Odoo6:41

Module developed by Binovo for invoicing sales delivery orders, something standard Odoo does not allow (it only invoices orders with delivered delivery orders).

What you see in the video
  • Sales > To Invoice > Delivery Orders to Invoice: pending sales and return delivery orders, with source, customer, date and taxable base
  • The list can be grouped by contact or by delivery order date to decide what to invoice
  • With no criterion set on the customer record, one invoice is generated per customer with the selected delivery orders
  • Action > Invoicing Order asks for the invoice date and whether the invoices are left in draft or validated
  • We recommend leaving them in draft: with TicketBAI active, validated invoices are reported to the tax authorities and would require a corrective invoice
  • The invoice groups the lines by delivery order into sections, also in the printed document

Customer invoicing criteria for delivery orders13:08

Invoice grouping criterion by customer: one invoice per delivery order, per order or per customer. By default, invoices are grouped by invoice address, company, currency and payment method. It is configured in the company settings or customer by customer.

What you see in the video
  • “Sales invoicing grouping criterion” field on the Invoicing/Accounting tab of the customer record
  • Criteria are created in Invoicing > Configuration > Invoicing Grouping Criteria, specifying the fields to group by
  • A default criterion can also be set for all customers in the general settings
  • With no criterion, Odoo groups by invoice address, company, currency and payment method
  • Example without a criterion: three delivery notes from two orders are invoiced on a single invoice
  • If the payment method changes on one of the orders, two invoices are generated
  • With the “invoice per order” criterion you get two invoices, and with “invoice per delivery note,” three
  • Binovo recommends getting in touch before creating new criteria

Generating proforma invoices in Odoo3:38

The proforma invoice details the terms of the transaction before the sale is closed. In Odoo, it is prepared and sent from a quotation or from a confirmed sales order.

What you see in the video
  • The proforma invoice is not issued from Invoicing, but from the quotation or the sales order
  • “Print proforma invoice” button: generates the PDF with the number and the details of the quotation
  • “Send proforma invoice” button: sends that same PDF by email to the customer using an editable template
  • Also available on the confirmed order and, from the list view, by selecting the order
  • The user needs the proforma invoice permission enabled; without it, the buttons do not appear

Binovo developments and extras 1 video

Customer invoicing frequencies (Binovo add-on)4:08

Invoicing frequencies defined in a maintenance table and linked to the customer; the value is carried over to the sales order and the delivery note so you can filter or group records and consolidate invoicing.

What you see in the video
  • Creating frequencies in Invoicing/Accounting > Configuration > Invoicing Frequency (example: Monthly)
  • Assigning the frequency to the customer in the Sales & Purchase tab of their record
  • The quotation inherits the customer’s frequency and lets you change it on that order; on the delivery note the field is read-only
  • In To Invoice > Delivery Notes to Invoice, filter and group by Invoicing Frequency to select delivery notes and launch the invoicing order

Frequently asked questions about sales in Odoo

What is the difference between a quotation and an order in Odoo?

They share the same numbering and are distinguished by their status: a confirmed quotation becomes a sales order and generates the corresponding delivery, purchase or manufacturing order.

How do pricelists work?

Each pricelist has rules for a fixed price, a discount or a formula, applicable to all products, a category, a single product or a variant, with a minimum quantity and validity dates. This is how quantity-based price scales or seasonal campaigns are created.

Can a sales order be delivered in partial shipments?

Yes. An order can be delivered on several dates until the full quantities are completed, or it can be closed by cancelling the pending part, which is recorded as an exception.

Can the customer accept the quotation online?

Yes. With online signature enabled, the customer opens the quotation from the email, signs it and can even pay it, and the confirmation is kept in the history.
