Leads into the CRM with an AI Agent and n8n

n8n use case · Sales and lead handling

How to automate lead intake into your CRM with n8n and an AI agent: inquiries arriving through the website form, email or WhatsApp go through a single workflow; the AI understands what they are asking for and scores them, the opportunity enters the CRM without duplicates, and the right salesperson gets an alert with a first reply already drafted, ready to review and send.

Information reviewed on November 7, 2026. Use case implemented with n8n by Binovo FutureAI, Certified n8n Expert Partner.

The problem

A sales inquiry that is answered within minutes has a much better chance of converting than one that waits until the next day. However, inquiries arrive through several channels, get mixed in with spam and vendor pitches, and someone has to read them, copy them into the CRM and decide who to pass them to.

Common symptoms

  • Leads that get lost in a shared inbox.
  • An incomplete CRM or one with duplicate contacts.
  • All inquiries treated the same, whether big or small.
  • Replies that take days.

What we aim for

  • Every inquiry in the CRM, from any channel.
  • Priority based on real potential.
  • The right salesperson, alerted immediately.
  • A first reply prepared, not sent without review.

We use it in-house too: requests submitted through the binovo.es form are classified and prioritized with the help of AI so they reach the right team, and a person reviews and handles each one.

How n8n solves it, step by step

Scroll through the steps: on the right, the workflow node doing the work at each moment lights up, along with the data it handles (sample data).

Step 1 of 6

All inquiries in a single workflow

The website form sends the inquiry to the n8n webhook; the sales mailbox and WhatsApp Business are added as triggers. From here on, they all follow the same path, no matter where they come in.

Step 2 of 6

The AI agent understands the inquiry

An AI agent reads the message and decides what it is: a sales opportunity, customer support, a vendor or spam. It extracts the specific interest, the approximate company size if mentioned, and the urgency, and it can fill in public company data, such as its website or sector, so the salesperson doesn’t start from scratch.

Step 3 of 6

It is scored and assigned

Your company’s rules and the AI’s judgment are combined into a score: fit with your services, size, location and urgency. This determines the priority and which salesperson or team should handle it.

Step 4 of 6

The opportunity enters the CRM

n8n looks up the contact and the company in the CRM (Odoo CRM, HubSpot or whichever you use) before creating anything. If they exist, it adds the opportunity to their record; if not, it creates them. Everything is logged with its source and campaigns so you can measure where sales come from.

Step 5 of 6

The first reply, ready for review

The agent drafts a first reply using your documentation and tone of voice: it says thanks, confirms what it has understood and proposes a meeting. It is saved as a draft in the salesperson’s mailbox or in the CRM. The person decides whether to send it, edit it or simply pick up the phone.

Step 6 of 6

Instant alert and follow-up

The salesperson receives an alert via Teams, Slack or email depending on the priority. If there is no activity on the opportunity within the agreed time, the workflow sends a reminder, and every week management receives a summary of leads by channel and status.

Applications involved

Application Role in the workflow
Web form (webhook) Main entry point for inquiries, including from WordPress.
Gmail, Outlook or IMAP mailbox Inquiries arriving by email and reply drafts.
WhatsApp Business Messaging inquiries through its official API.
AI model Classification, extraction, scoring and drafting of the reply.
Odoo CRM, HubSpot, Salesforce or Pipedrive Contacts, companies and opportunities.
Microsoft Teams or Slack Alerts and reminders for the sales team.

Do you use other applications? n8n has more than 2,000 integrations and connects with any software that has an API. We cover this in n8n integrations.

Variations of the same use case

Customer support

The same workflow separates customer issues and opens the ticket in the helpdesk with a suggested reply.

Voice agent

Calls handled by an AI voice agent reach the workflow with their summary and create the opportunity in the same way.

Trade shows and events

Contacts scanned at a trade show enter the CRM with their follow-up already scheduled.

Tenders

A workflow monitors procurement portals and alerts you to those that match your business.

Control, security and human in the loop

  • Nothing is sent without review: the AI prepares the reply and a person decides.
  • GDPR: the information provided to form users states that AI is used for classification, and only the necessary data is processed.
  • No solely automated decisions: the score prioritizes the work; it does not discard customers without anyone seeing it.
  • Traceability: each opportunity records what the AI understood and why it was assigned that way.

What we measure to know it works

Before starting, we take a snapshot of the current process and, once the pilot is running, we compare:

  • Time to first reply to the customer.
  • Percentage of inquiries logged in the CRM.
  • Conversion from opportunity to meeting by channel.
  • Team time spent classifying and copying inquiries.

How we implement it

  1. Process assessment. Volume, applications, common exceptions and who approves what.
  2. Workflow design in n8n together with you, with the business rules documented in writing.
  3. Pilot in a controlled production environment, with human review of everything at the beginning.
  4. Go-live with error alerts, secure credentials and documentation.
  5. Maintenance and training so your team understands and can adjust the workflow.

Frequently asked questions

What does an AI agent do in lead generation?

It reads each inquiry, understands what is being asked and whether it is a real opportunity, scores it and prepares a first reply. n8n connects that agent with the form, email, the CRM and team alerts.

Does the AI reply to customers on its own?

In this case, no: it leaves the reply as a draft for the salesperson to review. Sending can be automated for simple messages, such as an acknowledgment of receipt, if you decide so.

Does it work with my CRM?

Yes, with Odoo CRM, HubSpot, Salesforce, Pipedrive, Zoho and any CRM with an API.

How are duplicate contacts avoided?

The workflow searches by email, phone number and company before creating anything, and if it finds a match it adds the opportunity to the existing record.

Can WhatsApp be connected?

Yes, with the official WhatsApp Business API, which n8n integrates to receive and send messages within the workflow.

How many inquiries go unanswered in time at your company?

We’ll show you what the workflow would look like with your channels and your CRM.
